The 5 best check-in apps for 2026

Checking people in should take a second. In practice it means a clipboard by the door, a spreadsheet somebody retypes on Monday, or a system built for a corporate lobby when all you run is a class or a monthly event.

These five were built for different rooms. Here is how they compare on check-in methods, restrictions, reporting, scale and cost, and which one suits which situation.

At a glance

All five apps, side by side

It is worth reading the pricing model column alongside the price. Three of these bill per location or per site, so the figure shown is what one building costs rather than the total.

Three questions worth answering first

Who is checking in?

If they are people you already have on a list, such as students, members, staff or registrants, a check-in app like OneTap or Punchpass fits well. If they are visitors arriving at a reception desk, a visitor management system like Envoy or Sign In App is closer to the job, because screening and badges matter more than the roster.

How many buildings?

This tends to decide the bill. Envoy, Sign In App and Mindbody all price per location or per site, so a second site roughly doubles the cost. OneTap and Punchpass price per account, so extra locations are included and headcount is what you pay for.

What has to come out the other end?

If the point is a record, for grant reporting, compliance hours or an audit trail, look closely at export formats and whether check-ins can be restricted by time and location. If the point is revenue, you want booking and payments, which is studio software rather than check-in software.

The apps

The five best check-in apps, reviewed

01

OneTap

Check-in and attendance for schools, nonprofits, events and training teams, with the only free plan on this list.

Best value overall

Free, or from $49.99/mo billed yearly

Key features

  • Bulk import your existing list from Excel, with no manual data entry
  • iPad kiosk, web kiosk and a visitor app, all brandable
  • QR passes and Apple Wallet passes, one per person
  • Public check-in and registration links you can print or share
  • Check-in by SMS, for visitors with no app and no device
  • Restrict check-ins by time, date, location or custom field
  • Check-out, time tracking, photos, signatures and surveys
  • Punch passes for class packs and session-based access
  • Zapier, JotForm and Google Forms, plus a public API
  • SSO (SAML), custom reports and custom check-in processes

Strengths

  • The free plan covers 20 profiles with no time limit and no card, so you can test it properly before deciding.
  • Pricing is published in full, so you can compare it without booking a call first.
  • Billed per account rather than per location, which keeps multi-site setups predictable.
  • A one-time plan for single events, so a conference does not need an annual subscription.
  • Used across schools, nonprofits, events and workplaces rather than a single vertical.

Worth knowing

  • It is a check-in and attendance system, so class booking, memberships and payment processing are not part of it.
  • The admin and kiosk apps are iOS first. Visitors can still check in from any device by link, QR code or SMS.
02

Envoy

A corporate front desk system built around visitor screening, badge printing and access control.

Best for enterprise lobbies

Free tier, or $362/location/mo billed annually

Key features

  • Visitor pre-registration, screening and watchlist checks
  • Badge printing and photo capture at the kiosk
  • Host notifications via Slack, Teams, SMS and email
  • Legal documents and NDAs signed at check-in
  • ID scanning and access control integrations on Enterprise
  • Visitor analytics across every location

Strengths

  • The most developed security and compliance workflow of the five.
  • A large integration catalogue, including badge printers and access control systems.
  • A long-established product with a mature enterprise feature set.

Worth knowing

  • Priced per location, so costs scale with sites: five locations on Premium works out near $21,700 a year before add-ons.
  • Products are billed as separate modules, so a quote often lands above the headline price.
  • The free tier is capped at 100 entries a month, which suits evaluation more than ongoing use.
  • More capability than most classrooms, nonprofit programmes or one-off events need.
03

Sign In App

Now also SwipedOn and The Receptionist, following two acquisitions that brought three former rivals into one product.

Best for multi-site workplaces

$630 to $1,890 per site/year

Key features

  • Unlimited employees, sign-ins and connected iPads per site
  • Companion smartphone app with geofenced auto sign-in
  • Live evacuation reports and safety roll call
  • Pre-visit registration portal and ID scanning (Enhanced and up)
  • Desk booking, appointment scheduling and time and attendance
  • Entra ID, Google Workspace, Teams, Slack and webhooks

Strengths

  • Unlimited employees and sign-ins per site, so headcount does not change the bill.
  • One flat annual price per building, which is straightforward to budget against.
  • Runs on Android tablets as well as iPads, which is less common in this category.
  • The Receptionist brought a long-standing reputation for customer support.

Worth knowing

  • Three products are still merging, so it is worth confirming which one a quote or a review refers to.
  • No free plan, so the 15-day trial is the whole evaluation window.
  • Priced per site, which adds up across locations.
  • Desk booking, scheduling and attendance are capacity-tiered add-ons rather than inclusions.
04

Punchpass

Class scheduling, passes and check-in built for yoga, dance and martial arts studios.

Best for small studios

From $59/mo, or $623/year

Key features

  • Class scheduling with reservations and waitlists
  • Passes, class packs and recurring memberships
  • Online payments and digital waivers
  • Video library for on-demand and live classes
  • Automated customer emails

Strengths

  • No cap on how many customers you keep on file at any tier.
  • Noticeably less expensive than Mindbody for a comparable studio feature set.
  • A well-liked fixture of the yoga studio world, with a real 14-day trial.
  • Month to month, with no long-term contract.

Worth knowing

  • Built for studio management, so it is a less natural fit for a school, an office or an event.
  • Payment processing fees are charged separately by Stripe.
  • Automations are capped on the lower tiers.
05

Mindbody

A long-established all-in-one platform for fitness and wellness businesses.

Broadest feature set

Not published, reported from about $99/location/mo

Key features

  • Class and appointment scheduling
  • Point of sale, memberships and payment processing
  • Staff management, payroll and commissions
  • Marketing automation and reporting
  • A listing in the consumer Mindbody marketplace app
  • A branded mobile app, available as a paid add-on

Strengths

  • The broadest feature set here. For many studios it genuinely replaces several tools.
  • The consumer marketplace can put your classes in front of new customers.
  • The longest track record in the category.

Worth knowing

  • Pricing is not published, so a sales call is the only way to get a figure.
  • Priced per location, and payment processing is charged on top.
  • Third parties report a commission of roughly 23.5% on bookings that arrive through the marketplace app.
  • The branded app is an additional monthly cost alongside the subscription.
  • Reviewers often describe a steeper learning curve than the smaller tools here.

OneTap pricing and features

All plans are annual, so the monthly figures below are what an annual subscription works out to per month. One thing worth noting is the shape of the table: every paid plan includes every feature. The tiers differ by how many people you track, how many teammates share the account, and how many SMS credits you get, rather than by what the product can do.

Running a one-off event?

14 days validity

The One Time plan is $59.99 for a single event rather than a subscription. It covers 500 profiles, 5 collaborators and 500 SMS credits, and scales down to 50 or up to 1,000 profiles. It is the one option of its kind here, since running a conference on Envoy or Sign In App means buying a year.

Summary

So which one should you pick?

You track a list of people you already know

Schools, nonprofits, training programmes, memberships and events. OneTap is a good starting point, and the free plan lets you try it before you commit.

Visitors arrive at a staffed reception desk

Envoy if security, badge printing and access control are central and the budget is enterprise. Sign In App if you would rather have one flat annual price per building with unlimited staff.

You run a yoga, dance or martial arts studio

Punchpass. It covers booking, passes and payments, which no pure check-in app does, at a lower price point than Mindbody.

You want one platform to run a whole fitness business

Mindbody. It is worth confirming per-location pricing, marketplace commission and add-on costs on your own quote.

Check-in app FAQs

What is a check-in app?
A check-in app records who arrived, when, and often where, in place of a paper sign-in sheet or a spreadsheet. Visitors check themselves in at a kiosk, by scanning a QR code, or through a link you share, and the record is timestamped automatically. Depending on the product, those visitors might be students, members, employees, contractors, guests or event attendees.
How much does a check-in app cost in 2026?
Anywhere from nothing to roughly $8,400 a year for a single site. OneTap starts free and runs $49.99 to $99.99 a month billed yearly. Punchpass starts at $59 a month. Sign In App is $630 to $1,890 per site per year. Envoy Premium is $362 per location per month, or about $4,344 a year for one location. Mindbody does not publish pricing, and third parties report $99 to $699 or more per location per month.
Which check-in apps have a free plan?
Two of the five, and they work differently. OneTap has a free forever plan covering 20 profiles with no card required. Envoy has a free Basic tier capped at 100 entries a month with a reduced feature set. Sign In App, Punchpass and Mindbody have no free plan: Sign In App offers a 15-day trial, Punchpass a 14-day trial, and Mindbody asks you to book a demo.
What happened to SwipedOn and The Receptionist?
They are part of the same company as Sign In App now. Sign In Solutions acquired SwipedOn in 2024 and The Receptionist in January 2026. swipedon.com/pricing redirects to signinapp.com, and thereceptionist.com describes itself as "The Receptionist, now Sign In App" with matching Core, Enhanced and Pro tiers. Reviews written before 2026 may still treat them as three separate competitors.
What is the difference between a check-in app and a visitor management system?
Mostly the audience and the pricing model. Visitor management systems such as Envoy and Sign In App are built around a reception desk, with badge printing, NDAs, watchlists and access control, and they price per building. A check-in app such as OneTap is built around a list of people you already know, like a class, a programme, a membership or an event, and prices per account instead.
Do I need an iPad to run a check-in app?
Not necessarily. An iPad kiosk is the familiar setup and every app here supports one, but OneTap also offers a web kiosk, shareable check-in links, printable QR codes and check-in by SMS, so visitors can check in from their own phones with no hardware on your side. Sign In App runs on Android tablets as well as iPads.
Can a check-in app replace a paper sign-in sheet for compliance?
In most cases yes, and it is a common reason to switch. A digital record carries a timestamp, the check-in method, the device and the collaborator who performed the action, none of which a paper sheet captures. OneTap can export to Excel or to PDF sign-in sheets for grant reporting and audits, and check-ins can be restricted by time or location so the record reflects people who were actually present.
